Privacy Policy
Last updated 24 August 2026
This policy covers hr.vonas-media.com, the hiring site Vonas Media uses to receive applications, run skill tests and schedule interview calls. It explains what we collect from applicants, why, and who else sees it.
What we collect
Only what you give us as part of applying:
- Your name, email address and phone number.
- A profile photo and your CV or resume, if you upload them.
- Your answers to application questions, skill test submissions, and any portfolio or video links you share.
- Messages you send us, whether by email, through the chat on this site, or in reply to one of our job posts.
- Basic progress information, such as which step of the application you have reached, so you can leave and come back later.
We do not use advertising trackers, we do not sell anything, and we do not build profiles of you for any purpose other than considering your application.
Why we use it
To assess your application, communicate with you about it, schedule an interview call, and keep a record of our hiring decisions. That is the only purpose.
Automated assessment
Some applications and skill test submissions are summarised and scored by an AI model to help our team review them consistently. This is a first pass only. A person at Vonas Media reviews the result, and no hiring decision is made by the model alone. If you would rather your application was reviewed without that step, email us and we will do it manually.
Who else sees it
Our hiring team, and the service providers we use to run this process:
- Convex, which stores the application database and uploaded files.
- Vercel, which hosts this website.
- Airtable, our internal hiring board.
- Google (Gmail and Calendar), for correspondence and interview scheduling.
- Resend, which delivers some of our emails.
- Slack, where our team is notified about new applications.
- TidyCal, an alternative booking page for interview calls.
- Google Gemini, for the automated assessment described above.
They act on our behalf. We do not sell or rent your information to anyone, and we do not share it with other employers.
Our use of Google accounts
This application signs in to Vonas Media's own Google accounts, so that our recruiting inbox and interview calendar can be managed automatically. It reads and organises mail in our own recruiting mailbox, and creates and updates events on our own interview calendar.
It never asks applicants to sign in with Google, and it has no access to any applicant's Google account, mail, calendar or contacts. Data obtained from Google APIs is used only to run our hiring correspondence and scheduling. It is not sold, not transferred to others except as described above, and not used for advertising or any unrelated purpose. Vonas Media's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
How long we keep it
Applications are kept while we are considering you and for a period afterwards, in case a role that suits you opens up. Incomplete applications with no activity are closed automatically after about 30 days. Assessment records for applications that were not taken forward are deleted after about 90 days. You can ask us to delete your application sooner, at any time.
Your choices
Email hr@vonas-media.com to ask for a copy of what we hold about you, to correct it, or to have it deleted. Tell us the email address you applied with so we can find you. We will action deletion requests promptly, and you do not need to give a reason.
Security
Access to applicant data is limited to our hiring team and protected by authentication. Files you upload are stored privately and are reachable only through links we generate. No system is perfect, and we would rather you know that than pretend otherwise.
Changes
If this policy changes we will update the date at the top of this page.
